How do I add someone to my team, such as a crew member?

Add a crew member, manager or admin by sending an invitation from the Team tab, and manage invitations that are still waiting.

Open the Team tab, choose Add Member, enter the person's email, pick a role, and choose Send Invitation. For a crew member, pick Employee: they will see only the jobs assigned to them. They get an email with a link to accept. The link works for 7 days. Until they accept, they appear in your roster as Pending. Owners, admins and managers can invite people.

Send the invitation

  1. Open the Team tab and choose Add Member. The window is called Invite Team Member.
  2. Enter First Name and Last Name. The first name is filled in for them when they accept.
  3. Enter their Email. This is the only required field.
  4. Phone is optional. The invitation is sent by email only.
  5. Choose a Role: Employee (crew), Manager or Admin. Only an admin can invite another admin, so managers do not see that option. See What can an admin, a manager and a crew member do?.
  6. Choose Send Invitation.

What the person does

They open the link in the email.

  • New to Lawnly: the page says Create Your Lawnly Account. Their name and email are filled in. They add a phone number and a password, then choose Create Account & Accept Invitation.
  • Already have a Lawnly account: they sign in with that email and accept.

Either way, they land straight in your business with the role you chose. A crew member starts on their Time Log.

To use the Lawnly mobile app, they sign in there with the same email.

Resend or cancel an invitation

Pending invitations are listed with your team. Select one to see who it went to and when, then choose Resend invitation to email it again, or Delete invitation to cancel it.

If someone says the link has expired, or they never got the email, choose Resend invitation. Resending an expired invitation gives it another 7 days.

Take someone off the team

Select the member and choose Deactivate Member, then confirm. They can no longer open your business. They stay on your list under Show deactivated, and you can bring them back with Activate Member. The owner cannot be deactivated.

If a deactivated person signs in to Lawnly again, they are treated as someone without a business and offered their own free trial. They do not see any of your data.
