How do I create and send an invoice?
Build an invoice in the Invoices tab, then save it as a draft or send it.
Open Invoices and choose New invoice, pick the customer, add the services, and then save a draft or send it. You can build and save an invoice before you are verified. Sending or charging needs a verified business.
Start the invoice
Choose New invoice and pick a customer from the list. The search box finds them by name, email, phone or town. You can also open a customer and choose Send Invoice to start with that customer already chosen.
Fill in the details
The invoice form has numbered sections:
- Details: the Property, Payment due (Due on receipt, Net 15, Net 30 or Net 45, each with the date it gives) and the Subject, which is filled in from the services and dates and can be edited.
- Add completed work: finished jobs at that property that have not been billed yet. Add the ones to bill. If there are none, it says so and offers Schedule a job instead.
- Services & pricing: search your saved services or type a new one. Each line has a service date, quantity and unit price.
- Message: a note that goes out with the invoice.
Under More options you can Allow partial payments and Attach a PDF to the email.
The Totals card on the right updates as you type: subtotal, an optional discount, sales tax, what the customer pays, the card processing fee, and what you receive. The Billing to card shows the customer's contact details and whether they have a card on file.
Choose what happens next
The buttons at the bottom depend on the customer. For a customer with no card on file:
- Save draft keeps it unsent. See How do invoice drafts work?.
- Send & request card: when the customer has no card on file, this sends the invoice and asks them to add a card. Lawnly then confirms where it went, for example "Invoice emailed to … Card requested too."
Invoices go by email, and also by text when the customer has agreed to texts. Your default is Send invoices by under Invoicing & payments on the Business tab. Until there is at least one service, the bar says "Add at least one service to continue".
If it looks like a duplicate
If the customer already has an invoice for the same amount and service that day, Lawnly asks first: "Possible duplicate … Create another one?" Choose Open existing to go to that invoice, or Create anyway.
If you are not verified yet
When you try to send or charge, Lawnly saves the invoice as a draft first and then asks you to finish getting set up to be paid. Find the draft on the Drafts tab in Invoices and send it once you are verified.
If the customer paid you directly
Record it instead of charging. See How do I record a check or cash payment?.
